How Do I Create Voice Notes?

The voice notes function allows the dictation of notes which are not part of the formal dictation sent for transcription. In order to use voice notes, users must have the ability to record, play and delete them. To configure permissions, go to Settings > Users and Facilities. Click on the Roles tab and select the role name to configure in the list to the left. There are three privileges related to voice notes. They are Record Voice Notes, Play Voice Notes, and Delete Voice Notes from Settings > Users and Facilities > Roles tab under Save/Write Privileges, View/Play Privileges and Delete Privileges.

To create a voice note, click the Activate Voice Note Tool button from the Reporting Tools toolbar. The application displays a drop-down option as shown . Click the drop-down option to open the voice recorder console. The voice note module will then appear on the screen. It can be controlled by a Phillips SpeechMike or a PowerMic.

The Record button will begin recording a voice note. When a voice note is being recorded, the Record button automatically changes as a Pause button and the application flashes a text "Recording" in the left bottom corner.

Multiple voice notes can be created and saved using the voice note button.

To save a voice note, click the "x" in the top right corner of the Voice recorder console window. This will also close the voice note module. The below screen shot displays two voice notes recorded at two different timings on the same date by the administrator (user) as an example.

How to Playback a Voice Note

Click on the Activate Voice Note Tool Button Control button from the Reporting Tools toolbar. On click, the application displays a list of all existing voice notes pertaining to the study. Hover the mouse over the desired voice note you wish to playback and click Open as shown below.

The application displays the Voice Note recorder console. Click the Play button to playback the voice note. The Play button will play the currently selected audio file.

How to insert/overwrite a Voice Note

You can record additional information into an existing voice note by selecting either Insert or Overwrite.

Inserting allows you to append a new recording into the existing recording at any specific location you chose to insert the new recorded note. Overwriting allows you to overwrite a certain portion of the recording once you select a specific location. The portion of the recording from that location gets overwritten.

Choose the desired voice note from the existing list and click Open. Play the recording. Select the location you would want to Insert or Overwrite from and click the Record button. The following message is displayed confirming if you want to Insert or Overwrite additional information into the selected recording.

Selecting the relevant option starts the recording from the desired location.

Close the Voice Note window to save the changes.

How to Delete a Voice Note

Click on the Activate Voice Note Tool Button Control button from the Reporting Tools toolbar. On click, the application displays a list of all existing voice notes pertaining to the study. Hover the mouse over the desired voice note you wish to delete and click Delete as shown below.

The application displays a confirmation screen as shown below.

Click Yes to delete.

Note: Voice notes will be displayed under Series Information as a series with "AU" (audio) modality. Series description display is limited to 16 characters (not including the "VOICE NOTE" display text).
